Plans: Pro and Business, and the free trial. Folders keep your library tidy. Make one per client, campaign or topic, and put folders inside folders if you need to. Everyone in the workspace sees the same folders.

Create a folder

1

Go to where the folder should live

Open Media Library. To make a subfolder, open the folder it belongs in first.
2

Click New folder

The New folder window opens.
3

Name it and click Create

Type a name in Folder name and click Create. You’ll see “Folder created successfully.”
Names can be up to 255 characters. Two folders in the same place can’t share a name. If you try, you’ll see “The name has already been taken.” Folders in different places can have the same name.

Open a folder and find your way back

Click a folder to open it. The page title changes to the folder’s name, and a trail of links appears above it. Click Media Library in the trail to go back to the top, or click Go Back to go up one level. Each level shows only its own files. The top of the library shows files that aren’t in any folder. To upload straight into a folder, open it first and click Add Media. The upload window says “Uploading to” and the folder name. See Upload photos and videos.

Rename a folder

Click the three dots on the folder, then Rename. Change the name in the Rename folder window and click Save. You’ll see “Folder updated successfully.”

Move a folder

1

Open the folder's menu

Click the three dots on the folder, then Move to….
2

Pick where it goes

The Move to folder window lists your folders. Pick one, or pick Library root to move it to the top level.
3

Click Move here

The folder moves with everything inside it.
A folder can’t go inside itself or one of its own subfolders, so those don’t show in the list.

Move files into a folder

For one file, click the three dots on it and choose Move to folder…. For several, click each file to select it. In the Manage Media bar at the bottom, click Move. Pick a folder, or Library root, then click Move here. You’ll see a message like “Moved 3 files.” Moving a file doesn’t change any post that uses it.

Delete a folder

Deleting a folder also deletes every subfolder and every file inside it. You can’t undo this in the app.
1

Open the folder's menu

Click the three dots on the folder, then Delete folder.
2

Confirm

A window warns that this “also deletes everything inside it, including all subfolders and media files.” Click Delete folder. You’ll see “The folder and its contents have been removed.”
Want to keep some of the files? Move them out of the folder first, then delete it. Posts that already use those files keep them, including scheduled posts. The files just disappear from the library.

The AI Studio folder

If you use AI Studio, an AI Studio folder appears at the top level. PublishBuddy makes it and saves your AI Studio results there. It shows a lock and has no menu, so you can’t rename, move or delete it. You can still move files out of it, or remove single files. See AI Studio: images and video.

Who can manage folders

Anyone with access to the workspace can create, rename, move and delete folders. That includes editors. See Team members and roles.
