# Approve posts before they go out

> Have an owner or admin check posts before they publish. Set it up per person and per account, then approve or send back.

Approvals put a check between writing a post and publishing it. A team member writes the post and sends it for approval. An owner or admin then approves it or sends it back with notes.

<Note>
  Approvals are on the Business plan, and in the 14-day trial.
</Note>

## Set it up

You set approval per person and per social account. Give someone **Requires Approval By Admin** access to an account, and nothing they write for it goes out until an owner or admin approves it.

* For someone new, pick it when you invite them. See [Invite your team and set roles](/help/team-members-and-roles).
* For someone already on the team, go to **Team Members**, click the **⋯** menu next to them and choose **Edit Social Accounts**. Change the account's access to **Requires Approval By Admin** and click **Save**.

People with this access can only save drafts or send posts for approval. If they try to publish, they'll see "Your access only allows you to save posts as Draft, Needs Approval."

## Send a post for approval

Anyone can send a post for approval, not only people who need it.

* **From the composer:** click the arrow next to **Save as Draft** and choose **Save and Request Approval**. You'll see "Draft saved and sent for review successfully." The same option works for a bulk upload.
* **From a draft:** on the **Posts** page, open **Drafts** and click **Request Approval** on the post. You'll see "The post has been moved to For Approval".

Whichever way you send it, the workspace owner and every admin hear about it. They get a notice in the app and an email: "A post is waiting for your review". There's no phone notification. Each person can turn the email off (see the end of this page).

## Review a post

<Steps>
  <Step title="Find posts waiting for you">
    Open **Posts** and switch the status menu to **For Approval**. The number next to it shows how many are waiting. The **Dashboard** also shows a **Posts For Approval** count.
  </Step>

  <Step title="Check the post">
    Read it, check the preview and the media. Click **Edit** if you want to fix something yourself.
  </Step>

  <Step title="Approve it">
    There's no separate approve button. Approving a post means choosing when it goes out:

    * Click **Add to Queue** to approve it and give it the next free time in the queue.
    * Or click the arrow next to it and pick **Publish Next**, **Schedule** or **Publish Now**.

    Confirm, and the post leaves **For Approval**. When you approve with **Schedule** or **Publish Now**, the author gets "Your post was approved".
  </Step>
</Steps>

## Send a post back

Click **Reject** on the post, then **Move to Draft** to confirm. The post goes back to **Drafts**, and the author gets "Your post needs a few changes."

The reject step has no box for a reason. Add a note to the post instead: click the notes icon (tooltip "Notes"), write what needs to change, and @mention the author. They fix it and send it for approval again.

<Tip>
  Sent a post for approval too early? If you have **Requires Approval By Admin** access, the post shows **Move to Drafts** instead of **Reject**. It pulls the post back so you can keep editing.
</Tip>

## Choose your emails

Click your avatar, choose **Settings** and open **Email Notifications**. Under **Team** you can turn each of these on or off:

* "Send me an email when a post is waiting for my review."
* "Send me an email when one of my posts gets approved."
* "Send me an email when one of my posts is rejected."
